    Hours of work: Monday to Friday 10am-2pm


    Position Summary


    As a Facilities Coordinator, you will report to the Sr. Facilities Manager.  Duties include stocking employee kitchen, maintaining multiple conference rooms and daily walk-throughs of the office.  In addition you will also assist employees with special requests and act as an employee relations liaison to provide helpful and accurate information to employees and visitors.


    Essential Duties and Responsibilities

    • Office Cleanliness; maintain kitchens, conference rooms and common area office space
    • Inventory Control-Refreshments and Office Supplies
    • Order, Stock and maintain food/beverage/office supplies. This role will be responsible for maintaining the common areas as well as ordering and stock maintenance for all kitchen and copy room supplies. 


    • Will be trained on internal badge system and how to request, deactivate/activate employee building badges

    Meeting Room Maintenance and Set Ups

    • You will be required to ensure that all areas of the office are well maintained and presentable at all times. Maintaining cleanliness of all offices, workstations and conference rooms throughout the business day. Providing appropriate meeting room set ups and clean ups as directed by the Office Manager and/or Facilities Manager.


    • Input and keep policies and procedure manuals up to date in Microsoft software programs.  Ability to learn internal software.


    • Handling of all incoming packages and deliveries. Requires sorting and delivering to employees or forwarding as appropriate.  

    Vendor Relations

    • Vendor relation knowledge will be necessary to oversee typical vendors including coffee/snacks, office supplies, confidential shredding, and plant maintenance. You will also be traineed to be the liaison with property management on all building/site issues.

    Workplace Operations

    • Additional related requirements will include handling internal tickets for maintenance and other general requests for office repairs. This may involve overseeing moving of furniture, installation of keyboard trays, whiteboards, hanging pictures, etc.

    IT knowledge

    • Basic understanding of computer set-ups and relaying any problems or issues to the Office Manager.


    Additional Duties and Responsibilities

    • Internal event coordination for employee activities
    • Knowledge of construction build outs and furniture arrangements is a plus



    Minimal Qualifications  



    • London, UK- Canary Wharf



    • Educated to A level standards


    • This is an entry-level role, and fairly physical. The ideal candidate will be someone who’s keen to learn about facilities, with a can-do attitude and good interpersonal/customer service skills.


    • Competent in MS Office – Outlook, MS Word, MS Excel
    • Attention to detail and accuracy
    • Ability to manage time, work independently and see projects through completion
    • Ability to take on new tasks and technology quickly
    • Good communication skills and professional presence
    • Willingness and ability to adapt to the rapid business and organizational changes that accompany a high-growth environment.

    Physical Requirement

    • Ability to stock and lift up to 25 lbs of product
